Privacy statement Feed & Food Trading (version may 2018)

The nature of our business operations requires that we process particular personal data. In this privacy statement, Feed & Food Trading B.V., Fabelco B.V., Feed & Food GmbH, Nöll & Co. GmbH and F & F International B.V. (“F&F Group”) will inform you on the manner in which F&F Group as the controller deals with your personal data. F&F Group takes the greatest possible care in processing all the personal data which it receives or collects.

1. What personal data do we process?
The term “personal data” refers to all information by which a natural person (the “data subject”) can be identified or is identifiable, either directly or indirectly. The personal data which we may process about you include:

  • Name, first name(s) in full, initial(s), title and/or gender;
  • Address and place of residence;
  • E-mail address, (mobile) telephone number, fax number;
  • The business at which you work and/or your job title;
  • Supplementary personal data, such as identity document, date of birth, nationality and civil status;
  • Financial information, such as your bank account number;
  • The IP address of the device on which you visit our website;
  • Job application data;
  • All other personal data which we obtain from or about you or which we can request ourselves, and which we will use for the purposes set out below.

2. How do we obtain personal data?
We obtain your personal data if you disclose this data to us, for example when you or your organisation places an order with us, when you visit our website, fill in a form on our website, apply for a job with us and/or enter our employment, request a quotation from us or when we conduct (telephone) conversations with you and/or correspond with you by e-mail. We also gather information from public sources and/or website.

3. For what purposes do we process personal data?
We process personal data in the context of the services we provide and our cooperative relationships. Specifically, we process your personal data for the following purposes:

  • Supply of products and services
    We process data that is required for the preparation, performance and completion of services and the supply of products. We also use your data for the purpose of informing you about changes to our services and products.
  • Compliance with statutory obligations and (professional) rules
    We process personal data in order to comply with statutory obligations and professional rules applicable to us, for example with regard to identification, data verification, administrative requirements and/or retention periods.
  • Job applications
    If you apply for a job with us, we will receive your personal data. We will retain this data for a period not exceeding four (4) weeks after the end of the selection procedure, unless you have granted us express permission to retain the data for longer. In that case, we will retain the data for a period not exceeding one (1) year after the end of the selection procedure. By granting this permission, you will enable us to contact you in the future if a new suitable position becomes available.

4. On what grounds do we process personal data?
We process personal data only if there is a legal ground for doing so, that is:

1. for the purpose of implementing an agreement;
2. because of a statutory obligation;
3. with your permission;
4. because of a legitimate interest.

5. With whom do we share the personal data?
We may have to share your personal data with third parties for the purpose of carrying out your order. This may be the case in the following situations:

1. in order to be able to supply our services and/or products;
2. in order to be able to fulfil our statutory obligations;
3. when we involve external suppliers, such as our ITC supplier.

If a third party processes your personal data as the processor of F&F Group, we will conclude a data processing agreement with this party that meets the requirements of the GDPR. If a party is an (independent) controller, it will also be responsible for the processing of the relevant data and for compliance with the GDPR.

6. For how long will we retain personal data?
F&F Group adheres to the statutory retention periods. In any case, we will retain your personal data for no longer than is necessary for the purpose for which we process it.

7. How is the personal data protected?
F&F Group has taken appropriate technical and organisational measures to prevent abuse, loss, unauthorized access, undesirable disclosure and unlawful alteration of your personal data.

8. Website and cookies
F&F Group uses functional, analytical and tracking cookies. A cookie is a small text file that is stored on the browser of your computer, tablet or smartphone when you first visit this website. F&F Group only uses cookies with a technical functionality. These ensure that the website functions properly and, for example, remembers your preferred settings. The cookies are also used for the proper running and optimization of the website.

In addition, we place cookies that monitor your browsing behavior, which enables us to offer you customized content and advertisements. When you first visited our website, we already informed you about these cookies and requested your permission for placing them. You can deactivate cookies by setting your Internet browser in such a way that it no longer stores cookies. Alternatively, you can remove all information stored earlier via your browser settings.

9. What are your rights?
You are entitled to access, adjust and remove your personal data. In addition, you are entitled to data portability. This means that it should be easy for you to receive your data in order to pass it on to other organisations.

In order to access, remove or rectify your data, or in order to exercise your right to data portability, please send an e-mail to hr@f-fgroup.com. Before processing your request, F&F Group may ask you to prove your identity on the basis of a valid identity document. We will respond to your request in writing within four (4) weeks.

If you have any questions and/or complaints, please inform us of this as soon as possible via hr@f-fgroup.com . Of course we will endeavour to resolve these issues to the best of our ability. In addition, you have the option to submit a complaint to the national regulator, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). 11. Amendments to privacy statement
The rules concerning data protection and our business operations may change. Therefore, F&F Group reserves the right to make amendments to this privacy statement. The most up-to-date privacy statement can always be found on www.f-fgroup.com. This statement was most recently amended on 25 May 2018.
